The EASE scheduler lets you easily create recurring audits for one or more users. These factors are considered when scheduling audits:

  • Document Max (Defined and set in the document settings page in the scheduling Maximum)

  • User Max (Defined and set in the layer setting for the user)

  • Location- Assigned when the document is created.
    • During automation, whichever maximum (document or user) is reached first becomes the limiting factor.

Scheduling Audits

There are 2 ways to begin scheduling an audit(s) for a published document(s).

  1. Click on the day you want the audit assigned (or any other empty cell) in the calendar.
  2. Click on the + (plus sign) in the upper right corner.

What and Where

  1. Select the document(s) that you want to schedule (1).
  2. Specify a specific location (2), or Select Or Random (3) to allow the system to randomize the locations via the organization tier checkbox.
    • When utilizing the organization tier checkbox, EASE will randomly distribute audits across the specified levels.
  3. Click on Next to go to the next step.

  1. Due Date - The date when audit(s) will be due or the first day when your audit(s) will be due when scheduling over time.
  2. Repeat - The frequency of the audit(s) to be scheduled (Never, Daily, Weekly, Monthly, Yearly or By Layer) .
        TIP: By Layer - This allows scheduling of different frequencies during the same period based on the setup in Layers settings.
  3. Repeat Every  – Select a numerical value to assign audits every X days, weeks, months or years.
  4. Start Window  – The number of calendar days prior to the due date that an auditor can begin an audit.
  5. Grace Period – The number of calendar days that an auditor can complete an audit after the due date.
    1. Note: Audits completed after the due date will be recorded as completed late.
  6. End On – Select a date from the calendar to have the auditing event come to completion.
  7. End After  – Instead of ending on a calendar date the schedule will complete after a selected number of occurrences.
  8. Click on Next to go to the next step.


  1. Filter the columns by Layer, Shift, Department and Site to achieve the desired list of auditors
  2. Check the box to the left of the names of the auditors that are to be assigned an audit.
    1. The checkbox to the left of the Name column will select all users.
  3. Click Save to schedule the auditing event.

Scheduled Audits will populate into calendar for each of the documents selected. Users will receive an email on the first day that the audit can be completed (if the Start Window is larger than 0), and another on the scheduled due date.
