Findings


  • How to Route Findings


Findings are routed based on a hierarchal system of responsibility. When a finding is identified in an assessment, the system will first look at the Responsible Party settings configured at the question level, before looking to see if a Responsible Party has been assigned to the document. If no settings have been configured at the question or document level, the system will look at the Org Tree to see if a location manager has been assigned at the location level.

  • How to Close an Assigned Finding

            

When a user has been assigned as the Responsible Party for a finding, they can access the finding from the Home page under My Activity, or from the email notification they received.

Urgency Levels & Escalations

  • Overview


Urgency levels determine how findings are categorized and handled. If escalations are enabled, Teams associated with an urgency level will be notified whenever findings are categorized with the associated urgency level.

  • How to Add, Edit, and Delete Urgency Levels and Escalations


Urgency levels will need to be configured for each audit program. After enabling escalation, assign a Team to this urgency level to receive notifications when findings are identified with the assigned urgency level.

  • Escalation Notifications


If a finding has been created with an urgency level that has escalations enabled, the assigned team(s) will receive an email notification with a link to the finding.

  • Additional Approval


If a finding has been created with additional approval enabled, the finding must receive approval prior to being closed.

Categories & Sub-Categories


  • Overview


Categories and sub-categories refer to the predefined lists that can be selected when categorizing a finding after a questions fails during an assessment.

  • How Enable Categories and Modes for each Assessment Program


Each assessment program can be assigned its own predefined failure category.

  • How to Edit and Manage Group Values


The categories and sub-categories shown when categorizing a finding can be edited and managed in the Groups tab in Library. The Groups Library contains all failure categories that can be assigned to specific assessment programs.

Ad Hoc Findings


  • How to Report an Ad Hoc Finding


Ad hoc findings, or findings that occur outside of an assessment, can be initiated by on the Home page by clicking on the blue action button and selecting "Report Finding."

  • How to Enable and Configure Ad Hoc Findings


Before ad hoc findings can be conducted, they must to be enabled from within Products & Features settings section.

  • How to Use QR Codes for Ad Hoc Findings


The Org Tree contains location-specific QR codes that can be posted at a physical location to be used to start an ad hoc finding on the Ease mobile app. Using QR codes enables faster response times for issues on the plant floors by anyone that observes them.

  • Overview


The Findings section displays column-based reporting data on findings and ad hoc findings.

The Open Findings tab displays all findings yet to be resolved.
