Use existing files to automatically generate a structured training document with sections, topics, and comprehension questions.
Before you begin
- The files you want to use must already be uploaded to the Files section.
- The AI Training Generator must be enabled for your organization. If CREATE TRAINING does not appear when selecting files, contact your administrator.
Required permissions: Trainer, Training Scheduler, SiteAdmin, or OrgAdmin
Steps
Select files and configure generation
- Navigate to Files.
- Select one or more files using the row checkboxes. The CREATE TRAINING button appears in the top right as files are selected.
- Click CREATE TRAINING. The Generate Training Document modal opens, displaying the selected files as chips and previewing their content.
- In the Prompt field (required), enter instructions for the AI — for example, "Summarize maintenance steps for new operators" or "Create a safety procedure for boiler startup."
- Set # Sections — the number of sections to generate (default: 3).
- Set # Questions per Section — the number of comprehension questions per section (default: 10).
- Select a Training type: Training, Job, or Certification.
- Click PREVIEW.
Review and refine the generated content
The preview screen shows the generated training document, including:
- A document name field at the top (editable)
- Document Information — the document name and type
- Generated sections, each containing a topic description and comprehension questions
- Review the generated sections and questions.
- To refine the output, type additional instructions into the Additional Prompt field at the bottom of the screen and click the send icon (►). The content updates based on your instructions. Repeat as needed.
- When satisfied, click APPLY.
Complete the training document
After clicking APPLY, EASE creates the training document and opens it in the Topic tab. The generated sections, topics, and questions are pre-populated.
For each generated topic, attach the source material it references:
- Click + Add File to upload a file.
- Click + Add URL to link to a web resource.
- Click + Add from Files to attach a file already in your Files section.
Each topic displays an At least one file is required indicator until a file is attached.
- Review and edit any section, topic description, or question as needed.
- Click SUBMIT to save the document.
The training document is now saved as a draft. Publish it when it is ready to be scheduled and assigned. See How to Publish or Unpublish a Training Document in EASE.
Notes
- You can select multiple files — the AI draws from all selected files when generating content.
- The Prompt field is required. Clear, specific instructions produce better-structured output.
- The Additional Prompt field on the preview screen lets you iterate on the generated content before committing it — use it to add questions, adjust focus, or restructure sections.
- Generated content can be fully edited after APPLY, both in topics and comprehension questions.
