Turn on collaborative conduct for a program by enabling its section template, so the program's new documents can be organized into sections and assigned to different assessors.
Overview
Collaborative Assessments let a team complete a single assessment together, with assessors responsible for assigned sections. At the program level, you enable this with the Enable Section Template toggle in Program Settings and define a reusable section template. These settings apply to a program's new documents only.
Program-level setup is optional. You can also enable collaborative behavior directly on an individual document in Library. Enabling it on the program gives every new document under that program the same section structure by default. See How to Create a Collaborative Assessment Document in EASE.
For a full explanation of how collaborative assessments work, see Collaborative Assessments Overview.
Important: collaborative is set at creation and is permanent. A document is either collaborative or non-collaborative, and that choice cannot be changed after the document is created. You cannot convert a standard document to collaborative, or the reverse. Only newly created documents can be made collaborative; existing active documents cannot be toggled.
Before you begin:
Collaborative Assessments is available for EASE PRO subscribers and must be enabled for your site.
You need access to Program Settings for the program you want to configure.
Required permissions: Site Admin or Org Admin
Steps
Navigate to Settings > Program Settings. Create a new program or open an existing one you want to make collaborative. Only new documents created under an existing program are affected.
Locate the Enable Section Template panel. The description reads: "Turn toggle on to make documents for this program collaborative. You'll be able to assign specific sections and questions to different users to complete your assessment."
Turn the Enable Section Template toggle on. A Section(s) panel appears below the toggle, showing the current section count and a + Add Section button.
(Optional) To add sections at the program level, click + Add Section. In the Add Section dialog, enter a Section Name (required, up to 250 characters) and click APPLY. Repeat for each section you need. You can also add sections later directly in each collaborative document. These sections set up at the program level appear under all documents created under this program.
To add questions to a section, click the three-dot menu on the section header and select Add question. In the Add Question dialog, fill in the required fields: Question, Title, and Section and configure the response settings (Response Type, Comments, Findings, etc.). Click APPLY to save.
Scroll down and save the program settings. The Program Type label for this program changes from "Standard" to Collaborative in program selection lists.
Note: the program template defines the section structure only. Assessors are assigned to sections at scheduling time, not here. See How to Schedule a Collaborative Assessment in EASE.
Notes:
Inherited sections are read-only. Program-template sections are inherited and read-only on documents created under the program. However, sites can add their own local questions on top of the inherited standard, so a program enforces corporate standardization while still allowing site-level additions.
Changes apply to new documents only. Existing documents created before enabling the section template are not changed.
Turning the toggle off. Turning Enable Section Template off stops new documents from being collaborative, but documents that are already collaborative stay collaborative. Documents created before the template was enabled remain standard assessments.
What happens next
New documents created under this program are collaborative. When you schedule one, you can assign each section to a single assessor, or leave sections unassigned for the team to claim during conduct. See How to Schedule a Collaborative Assessment in EASE.
