Collaborative Assessments let a team complete a single assessment together, with each assessor responsible for specific sections. Work happens in parallel, each person owns and submits their sections independently, and the assessment closes automatically when all required sections are done. No separate merge step; no waiting for a lead to submit on everyone's behalf.
How It Works
When an Assessment Scheduler creates a collaborative assessment, they assign each section to a single assessor, or leave sections unassigned for the team to pick up during conduct. The assessment appears in each assigned assessor's dashboard (My Activity) and My Assessments queue.
Opening the assessment lands you on the conduct page, which groups the assessment's sections into three lists: Available Section(s) (unassigned sections any assessor can claim), My Section(s) (sections assigned to you), and Assigned Section(s) (sections assigned to your teammates, grouped by name). You select the sections to work and click PROCEED to enter conduct; you START a section to claim and lock it to yourself, work through its questions, and submit it. Your teammates do the same for their sections simultaneously; no one waits for another team member before starting their own work.
As sections are submitted, each one is marked complete on the conduct page. When all required sections across all assessors have been submitted, the assessment closes automatically — there is no separate final-submit step performed by a lead or administrator.
If an assessor cannot complete a section they have started, they can reassign it to another assessor on the same assessment. All assignments, reassignments, and answer changes are captured in the assessment's audit trail.
Key Concepts
Conduct Page
The central conduct view for a collaborative assessment. It groups sections into Available Section(s), My Section(s), and Assigned Section(s) lists, and provides a Navigation panel (Sections List) for moving between sections. The page header displays the assessment name. The page is specific to collaborative assessments — standard assessments use the standard conduct view.
My Sections
The list of sections assigned to you on the current collaborative assessment, shown alongside Available Section(s) and Assigned Section(s). You can see your teammates' sections under Assigned Section(s) (grouped by assignee) but can only work your own and claim unassigned ones. Each section shows a START action and, until you start it, an UNASSIGN action.
Section Ownership (Claim Model)
Sections use a check-out/claim model with a single owner at a time. A section reaches you one of two ways: it was assigned to you at scheduling (each section is assigned to exactly one assessor), or it was left unassigned and appears under Available Section(s) for any assessor to claim. Before you start a section you can UNASSIGN it (release it back to the pool). Pressing START opens a Start Section confirmation — once you start, the section is locked to you and cannot be removed from your list.
Section Questions and Fields
Once you start a section, questions and fields behave the same as in a standard assessment, required fields are marked with a red asterisk (*) and must be answered before the section can be submitted. Multiple Choice, Multiple Select, and Free Form field types are supported. If you try to submit a section with a required item unanswered, a "X Required Item(s) Missing" validation message appears and the section stays marked incomplete.
Section Completion and Submission
Each section has its own submit step. After completing all questions and fields, you preview your answers and submit the section. Submitted sections are marked complete "COMPLETED" appears in green text in the My Sections list, and a green check mark appears in the section navigation and become read-only.
Assessment Completion
The assessment closes automatically when all required sections across all assessors have been submitted. There is no designated lead who performs a final submit.
Reassigning a Section
If you cannot complete a section you have started, you can reassign it to any other assessor assigned to the same assessment. Selecting Reassign opens the Reassign Section window, which shows a name search bar, your name as the current assignee, and a list of available assessors (others assigned to sections on this assessment). In the confirmation prompt ("Are you sure you want to reassign this section to [Name]?"), click Reassign. The new assignee receives an email notification and the change is recorded in the audit trail.
If you are the only assessor on the assessment, no reassignment is available and a No Available Assessors message is displayed instead.
Audit Trail
Every change to a collaborative assessment: section assignments, reassignments and section submissions is captured in the assessment's audit trail, providing a complete record of who did what and when.
Assessment Results
When a collaborative assessment has started, the Results page displays a summary of the assessment. The page is organized into the following areas:
Assessment Information shows the assessment metadata: ID, Date Started, Date Completed, Due Date, Name, Site, and Status (for example, "Completed - Past Due" if the assessment was completed after its due date).
Sections Results provides an at-a-glance summary of all sections across all assessors: Total Sections, Total Completed, Total In Progress, Total Not Started, Total Score, Total Percent Score, and the overall Results status (Passed or Failed). Completed and in-progress counts appear in green when all sections are finished.
The Assigned Section(s) list groups completed sections by assessor name, with each section showing a COMPLETED label in green. The Navigation panel on the right mirrors this grouping, with a green check mark next to each completed section.
Two additional tabs are available on the results page: FINDINGS (for any findings generated during the assessment) and the HISTORY tab shows the full audit trail for the assessment: every status change, section completion, and reassignment, with the date and who made the change.
EASE PRO and Site Enablement
Collaborative Assessments is an EASE PRO capability, enabled per site (an organization can have it on some sites and not others). Within an enabled site, collaborative behavior is configured at the Document level: in Program Settings, the Enable Section Template toggle makes that program's documents collaborative, letting you assign specific sections and questions to different users. Changes to a program's section template apply only to new documents.
Mobile
On mobile, only the conduct flow is supported (claim/start a section, complete it, submit, and view results). Scheduling and assignment are web-only.
